Position Overview:
As a Medical Office Assistant at NeuPath Health, you will be an integral part of a dynamic, patient-focused clinic team. You’ll coordinate various front-desk and administrative operations to ensure efficient clinical workflows. The role involves a mix of clerical duties, patient interaction, record management, and support for clinical staff in a healthcare-focused office environment.

Responsibilities include:

  • Answer and route phone calls, take messages, and provide general information to patients and clients
  • Greet and direct visitors and patients upon arrival; manage front-desk service
  • Schedule appointments for patients, physicians, and nursing staff using clinical scheduling systems
  • Receive, sort, and distribute incoming mail and materials
  • Draft and send basic communications using Microsoft Office (letters, labels, reports, etc.)
  • Operate office equipment including printers, fax machines, and personal computers
  • Maintain and organize patient records, appointment logs, and administrative databases
  • Ensure lab results (e.g., UDT, ORT) and risk assessments are entered into the EMR system promptly
  • Transcribe and file dictated notes from physicians into patient charts
  • Manage the inventory and ordering of medical and office supplies
  • Coordinate with physicians and head office admin on documentation workflows
  • Assist in maintaining a professional and organized clinical environment
  • Perform errands and other job-related duties as required

Qualifications:

  • Graduate of a recognized Medical Office Administration (MOA) program
  • Minimum of 2 years MOA experience in a clinical setting
  • Proficiency with Microsoft Word, Excel, and Email platforms
  • Experience with Telus PS Suite – EMR is a strong asset
  • Fast and accurate data entry; strong administrative and clerical skills
  • Excellent communication and customer service skills
  • Strong organizational skills and ability to follow procedures precisely
  • Must be comfortable in a unionized workplace environment
